How We Protect Health Information Submitted Online

We have activated protected health information safeguards offered through Wix and have entered into a Business Associate Agreement with Wix. We use access controls and other administrative, technical, and physical safeguards designed to protect information submitted through our appointment and intake systems.

Appointment and intake information submitted through protected Site features is stored in access-restricted systems and is encrypted as supported by the applicable Wix service and configuration.

Access to submitted information is limited to authorized personnel and service providers who require access for legitimate business or healthcare purposes. We also limit the health information included in automated email or text notifications. Appointment notifications generated through the Site are designed not to include diagnoses, treatment details, form responses, or other unnecessary medical information.

Although we use reasonable safeguards, no website, database, email system, or electronic transmission method can be guaranteed to be completely secure.

How We Share Information

We may disclose information to service providers that assist us with operating the Site, securely processing appointment or intake information, communicating with patients, preventing fraud, providing technical support, or performing other services on our behalf.

These service providers may include Wix and other vendors that support our website and communications. When a service provider creates, receives, maintains, or transmits protected health information on our behalf, we require appropriate contractual protections, including a Business Associate Agreement when required by HIPAA.

We may also disclose information:

  • When required by law, court order, subpoena, or other lawful process;

  • To protect the rights, safety, or property of Sunshine Foot & Ankle, our patients, Site visitors, or others;

  • To investigate fraud, security incidents, or misuse of the Site; or

  • As otherwise permitted or required under HIPAA and applicable law.

We do not sell personal information.

Cookies, Website Reporting, and Advertising Measurement

The Site uses essential cookies and similar technologies provided by Wix to operate website features, maintain security, remember settings, and support website functionality.

We use Wix's built-in website reporting tools and Google Search Console to understand the Site's performance and visibility. We do not currently use Google Analytics or a Meta/Facebook advertising pixel on the Site.

We also use limited Google Ads conversion measurement to understand whether an interaction with one of our advertisements results in a general website action, such as calling our office or selecting an appointment-request option.

Google Ads measurement may use cookies and similar technical identifiers and may receive information such as an IP address, browser or device information, the webpage URL, advertising-click information, and the occurrence of the measured action.

Our Google Ads measurement is intended to operate only on appropriate public portions of the Site. It is not intended to collect information entered into appointment or intake forms, diagnoses, treatment information, insurance information, appointment details, or other protected health information. We do not use enhanced conversions, Customer Match, remarketing lists, or similar advertiser-created audience tools based on Site visitors.

You may manage nonessential cookies through the cookie controls displayed on the Site, when available, and through your browser settings. You may also manage certain Google advertising settings through Google's advertising controls. Blocking cookies may affect how certain website features operate or how advertising results are measured.

Data Retention

We retain information for as long as reasonably necessary to fulfill the purposes described in this policy, provide requested services, maintain appropriate records, comply with legal or regulatory requirements, resolve disputes, and enforce our agreements.

Medical and billing information may be retained for the periods required by HIPAA, Florida law, professional requirements, insurance obligations, and our record-retention policies. A request to delete website information may not apply to information that we are legally or professionally required to maintain.

Children and Minor Patients

The Site is intended for use by adults and is not directed to children under 13.

Parents and legal guardians may submit information about minor patients when requesting appointments or arranging healthcare on their behalf. A child under 13 should not independently submit personal or medical information through the Site.

Your Choices and Privacy Requests

You may contact us to request access to or correction of personal information collected through general website interactions or to ask that information be deleted when we are not required to retain it.

Before responding to a request, we may need to verify your identity and authority to make the request. We may deny or limit a request when permitted or required by law, including when information must be retained as part of a medical, billing, legal, security, or business record.

Requests involving medical records or protected health information will be handled under HIPAA and our Notice of Privacy Practices. Our Notice of Privacy Practices explains patients' rights to request access, copies, amendments, restrictions, confidential communications, and an accounting of certain disclosures.

Third-Party Websites

The Site may contain links to websites and services operated by third parties, including Facebook, Instagram, Google Maps, Google reviews, insurance resources, or other external services.

We do not control those third-party websites or their privacy and security practices. Information you provide directly to a third party is governed by that third party's privacy policy and terms.
